Common questions

What does it cost?

The first call is free. The Workday Audit at your place is $1,500. It comes off your first quoted project if you hire us. Every piece of quoted work gets a fixed price in writing before we start. Starting prices: software from $1,200, hardware from $800 plus hardware at cost, ai from $1,500, consulting from $500 a month, setup from $600.

Do we have to start with the audit?

No. If you already know what's broken, say so on the call and we quote that job. The audit is for when the day feels slow and it isn't obvious why. It comes off your first quoted project if you hire us.

How do we pay?

The Workday Audit is paid on the day. For quoted work, half is due when you say go and half when it does what the plan says. Hardware is billed at cost, with the receipt. Card, check or bank transfer.

Are there monthly fees?

Not to us, unless you choose ongoing consulting, which has no minimum term. If a fix needs hosting, a booking tool or an AI service, the monthly cost is on the plan before you say yes, and it's billed to you directly.

What if we need a change later?

After the 30 days, small changes are $85 an hour, and we tell you the total before we start. No retainer, and you're free to use anyone else.

What about customer or patient privacy?

Customer and patient answers shouldn't sit in plain email. For health forms we only set up tools that offer a HIPAA Business Associate Agreement, and your clinic signs it with the tool's company. If you'd like one, we sign a confidentiality agreement with your business before the audit. We go over your privacy rules on the first call, and the plan names every tool and its monthly cost before you say yes.

Who owns the work?

You own everything. Domain, code, logins, accounts and hardware are in your name, and there's no retainer. Everything we set up is written down, so another company could pick it up.

Will it work with what we already use?

Usually. For websites that means Wix, Squarespace, GoDaddy, WordPress or a hand-built site. QuickBooks Online, Square, Google Business Profile and most booking tools are fine too. QuickBooks Desktop depends on the version. If yours isn't a fit, we say so on the first call, before you pay anything.

Do we need to prepare anything for the audit?

No. Run a normal day. The point is to see how work really moves, not how it's supposed to.
